CMA Booster Club Meeting Minutes

Call to Order - 7:03pm.

Quorum was established with 23 in Attendance

Nancy Lesky made a motion to approve the Minutes from May 2010, Patty Willis seconded. A vote was taken and the Minutes were approved by the majority.

Old Business:

There were funds that were un-budgeted for that went out in May disbursements. These included pizza for the student picnic ($100), flowers and gift cards for CMA teachers presented at the banquet. An electronic vote went out to board members to approve these expenditures.

The budget was not voted on and will be voted on at the August board meeting.

We received great feedback on the Annual Fundraiser. Everyone agreed that the length was good, some thought the silent auction was better in the hallway. It was suggested that having contact cards for mentor/mentees to trade would be good for the future. The senior table was a big hit.

New Business:

We will be having a vote at our the August meeting on changes that will be made to the Bylaws.

Fall Kick off Planning - The 18th of August from 6-9:30pm. This takes place in the SAC and library. The Boosters will ask parents to bring a dish and the boosters will provide pizza and sodas. We will send out Evites 3 weeks before but first the date needs to be confirmed with Mrs. Martin. All CMA students are invited. This might be the best time to have next board meeting. We may have an officer meeting ahead of time and a quick(1/2 hour) board meeting for all parentss at the beginning of the Fall Kick off.

Possible Fall Fundraiser - Cookbook with possible name of Dragon Food. Would need submission of recipes from students, teachers and families. We would like to have a cook off event in November where all dishes submitted would be brought and voted on. Bring the school as a whole into the process by having a contest for the cover art. Include study tips, conversion charts, etc. Look at getting a few businesses to place ads to cover some of the cost.

* We are looking for a parent with publishing connections to possibly get publishing donated. Reed suggested they could be sold during lunch to students in the SAC. Others felt we need to get pre-orders so we know how many to produce.

We would like to have a CMA speaker in September on the topic of organization or doing well in school. Possibly Dr. Rollins would be willing to speak and we will have onemore speaker in October or November and then 2 more speakers in the spring.

The Incoming Freshman Family BBQ will be at the Genco home tomorrow evening - June 9th. 87 RSVP’s so far. Reed and Katy will be coming. (President and Vice President of student board)

We will be asking each committee to submit a report before each board meeting so that it can be read at the meeting if someone isn’t going to be able to be in attendance. It will be set up in the form of the Agenda and go out with meeting reminders so that everyone is aware of what will be discussed ahead of time.

We will be adding helpful links to the website - Kahn Academy and Carroll Tutors.

Dawn Schindler would like to see the student roster in a printed format. Tracey Shuck had an idea on how to get the information and convert it easily into a phone book using Google Docs. We would like to get ads for this book as well.

• Please join the CMA Parents Facebook site and start conversations going.

Cathy Hendrickson is planning a Mentor/Mentee event for this summer so that students can get to know one another.

We are searching for ideas on where to hold Physician Breakfast. It was at the Town Hall last year and it was too small. White’s Chapel Community Center and Gateway were suggested. We need to be able to have seating for 225-250 people.

The Deadline for putting down a deposit on the Spring Cruise is June 15th.

There will be a Sophomore Party at a parent home during the summer.

CMA Booster Club Minutes - 05/11/10

In attendance were: Maria Quinn, John Kresky, Melissa Ripley, Kim Holcomb, Alex Holcomb, Cathy Hendrickson, Jean Steele, Natalie Genco, Susan Carson, Mrs. LaCava, Cheryl Salanty and Becky Goodman.

Items covered include the following:

• Mrs. Martin's Gift — We on a gift idea for Mrs. Martin. The vote on the gift and dollar amount were unanimous.


• Treasurer's Report — The final balance as of 5/11/10 is $5739.02. Kim expects us to spend $2500 on the scholarships, $200 on expenses for the Banquet, around $1000 on gifts, $1200 for patches of which we should get about $1000 back from the students, and $100 for name tags for the Banquet. We will also raise money with the silent auction at the Banquet so our bank balance should be fine.


• Awards Banquet — We discussed complimentary tickets for the Banquet. Melissa needs to give the Marriott a final headcount by noon on 5/18/10. Currently, 367 people have rsvp'ed. Melissa brought a volunteer list with her. She's confirmed 10-12 students to work the registration tables. Suzette Tummons will coordinate the decorations again this year. Suzette will need six volunteers. Alex Holcomb and Rebeccah Gould will make the name tags. Melissa is requesting 8 dozen balloons, and a couple of auction bid runners as well as checkout volunteers. Rebeccah Gould is working on the program with Mrs. Martin. Susan will complete the fundraising project form for the Banquet and submit it to CISD. Interested parents should contact Melissa Ripley to volunteer time or balloons.


• Scholarship Applications — are due on 5/12/10. The committee is tentatively scheduled to meet on May 17, 2010.


• Computer Cabinet — We will give the Eagle Scout two more weeks.


• CMA Students — Alex Holcomb asked the Booster Board for support on a summer assignment survival kit to potentially sell at the Banquet. The Board would like to see a plan for what will be in the kit. Alex will discuss with the Student Board on Wednesday.
  
  (Correction Submitted by Mrs. Martin) The Student Board officer applications are due to Mrs. Martin by 5/12/10. The election will be held the week of the banquet. Current 9th, 10th and 11th grade students are eligible to vote. Candidate information, as provided on each application, will be read to the students prior to voting to allow students to make informed decisions regarding student leaders for the 2010-2011 school year. The results of the executive officer election will be announced at the CMA Awards Banquet. Class representative elections will be held early next Fall.


• Minutes — The minutes from the prior meeting were approved by unanimous vote.


• Election of Booster Board Officers — Dawn presented the slate of officer candidates for 2010-2011. The group voted on the slate, and it was approved unanimously.


• Officer Transition Meeting — Options were discussed for transitioning materials from the prior to the new officers. Dawn will send out potential dates for the meeting.


• Financial Planning for College — Cheryl presented a flier from Penumbra to potentially be passed out at the Awards Banquet. It was decided that it might be better to email it out to parents.

CMA Booster Club Minutes - 04/13/10

Minutes from last night's CMA Booster Club meeting are as follows:

• Speaker scheduled for May needs to be cancelled due to officer elections.


• Gift ideas for Mrs. Martin should be sent to Susan Carson.


• Senior Scholarships — In the past, we have given $500 scholarships. It was suggested that we give two $1000 scholarships instead. It was decided to provide five $500 scholarships. Dawn motioned to approve, and it was seconded. Vote passed; no objections. A committee will be put together to review the applications.


• Treasurer's Report — The balance on April 12, 2010 was $6,394.01. We owe Melissa Ripley $212.49 for the Awards Banquet invitations, which will leave a balance of $6,181.52.


• CMA Patches — We would like to purchase 50 patches at $24 each. If we charge $15 per patch, CMA Booster Club will cover the rest.


• Computer Update — Microsoft Office software has been received, and we only had to pay half-price for it. Matthew Carson is working with Darryl Brown to create a ghost image, which can then be applied to each laptop. Susan has been working on a parallel plan for a cabinet to house the laptops. She has located a used cabinet that might work. Tom Rayermann brought a proposal/plan by for his Eagle Scout project to build the cabinet. Susan will review.


• Banquet Update — Update was sent out via email. Comments should be sent to Susan.


• Bylaws — Slate of officers will be sent out next week. We would like to amend the bylaws to add three new positions because the roles are too large, and it will allow more families to be involved. The proposed amendments were sent out via email. We would also like to add a December meeting and delete a June meeting. Bylaw changes were passed around. Cathy moved that we amend the bylaws, and John seconded. Vote passed, and there were no objections. The slate of officers will be voted on in the May meeting. People who are interested in being on the Board next year should contact Dawn Schindler.


• Student Update by Alex Holcomb — The AP Survival Kits are still being sold. Interested parents should contact Rebeccah Gould. The money goes to the student account under Mrs. Martin. The AP Survival Kits are only for CMA students. Dawn suggested that next year, the students may want to open it up to all AP students, and that the booster club would be happy to assist. Susan said that it could also be coordinated with the AP Booster Club.


• Meeting was adjourned for the scheduled speaker, Dr. Wheeler.
