CMA Booster Club Minutes - 12/14/10

In attendance were: Natalie Genco, Gay Burns, Becky Goodman, Ann Dachniwsky, Katie Dchniwsky, Melissa Ripley, Reed Ripley, John Kreske, Yash Sidhu and Mrs. Martin. Meeting began at 7:00 p.m.

1. Approval of Minutes from November 9, 2010 Meeting - Gay motioned for approval, and Melissa seconded. Vote was approved by all.

2. Treasurer's Report - Gay reported that the current bank balance is $10,695.08. We have $2,122.52 in expenses yet to be reimbursed, which leaves the final available balance at $8,572.56. We've raised $1670 from the sale of Dragon pinchers, cowbells and cookbooks. Therefore, we should discuss whether we need to do the silent auction at the Awards Banquet. Gay will put together a recommendation for a minimum balance. Natalie and Gay will also put together a draft of a spring budget.

3. Fundraising - We ordered 400 cookbooks, of which 198 were pre-ordered. 70 people have not picked up their cookbooks yet. After the holidays, we will need a volunteer to call people to let them know that they can pick up their cookbooks at the Spirit Shops.

Becky created an appreciation certificate for each of the students whose artwork was put into the cookbook. Principal Giamanco will give these out. Both campuses suggested that we hold an event next year where people cook a sample of the recipe that they submitted for others to taste and sell more cookbooks.

4. Directory Update - Tracey will begin work on the directory after the cookbook is finished.

5. Name Tags - Melissa will get some from Staples and print the inserts.

6. Banquet Update - We still need someone to chair this event. We will send out an email after the new year starts. We discussed using a committee to fill this position. We also need someone to head up the silent auction, if we decide to continue with it. Trusa Patel has volunteered to do the invitations. Natalie will meet with Melissa to go through the items that need to be done for the banquet.

7. Spring Budget - Gay listed some items (scholarships, banquet, physician's breakfast, invitations, and field trips) as potential items for the spring budget. Mrs. Martin also said that there are a couple of charity teams that they're considering. She also needs a print cartridge for the copy machine after Christmas. This will cost around $300 to $400.

John asked whether the laptops had everything loaded yet, and Mrs. Martin reported that they did not due to the changes in technology over the summer and time issues. Natalie suggested that a Comp Sci student may be able to assist. Mrs. Martin said that she expects to have wifi soon (within the next 6-12 months) and will check with the Comp Sci teacher for assistance.

Katie asked for funds for food for the student parties to be held this week. She expects to need about $192. The expenditure was approved to be taken out of the money allocated for Senior class get-togethers.

8. Internships - All of the internship sponsors will be invited to the physician's breakfast. Dawn also needs to meet with Mrs. Martin.

9. Physician's Breakfast - Melissa sent out 70 invitations, and has asked them to RSVP by 12/31/10. The breakfast will be held on 2/17/11 at White Chapel United Methodist Church. The $300 room fee will include setup, projector screen, and coffee. She is working on finding a sponsor to donate breakfast. Gay suggested sending an email to parents to remind them to send in their $25 to help pay for food.

We also need to thank Nelson's in the banquet program this year for donating the food last year. Nelson's thought they were going to receive more advertising than we were able to get them.

Melissa was able to find a vet to attend. Dr. Ruffner from Golden Triangle Animal Hospital will join us. Natalie reported that she had met someone from a 24-hour veterinary hospital, VCA, who is interested in sponsoring an internship. She will pass the card along to Dawn.

10. Parliamentarian - Yash reported that only 4 people showed up at the last parent luncheon. She would like for Board members to RSVP for each event.

11. Junior Parent Representative - Yash reported that the next party for juniors will be in March. They are thinking about doing something at Bicentennial Park.

12. Senior Parent Representative - Ann reported that the seniors are still trying to get together.

13. Student Board - Reed and Katie said that they're planning a holiday picnic. The holiday parties and gift exchanges will be held on Thursday, 12/16/10, and Friday, 12/17/10.

The students are also raising funds and creating cookie plates for the janitors. For every dozen home-made cookies that a student brings in, they get one volunteer hour.

Brittany Wang is working with CMA sophomore students on a project making a holiday meal for the Battered Woman's Shelter.

CMA Booster Club Meeting Minutes November 9, 2010





Meeting Called to order 7:09pm • Quorum was established with 10 Members in attendance (including Mrs. Martin) as well as two student Officers.


1. Approval of minutes from last meeting, October 2010 - Melissa Ripley made a motion to approve the minutes from the October Meeting. The motion was seconded by Nancy Lesky. A vote was taken and passed unanimously. The motion carried.


2. Treasurer's report-Gay Burns - Gay’s father passed away. We should add $200 to last report until we can get a new report.


3. Fundraising - We have placed a second order of T-shirts and Mrs. Martin has delivered them. We do not intend to order more shirts at this time. We can order more around the time of the banquet from the same company.


-Cookbook update. Close to completion. The cookbook will go to press November 15th and it can take up to 2 weeks to print. We had a setback getting artwork releases.

Need a volunteer to put together award certificates for the artwork winners.


Vote on presenting the 9 artwork winners with a complimentary cookbook (our cost $5 each = $45 ). Becky Goodman volunteered to make the certificates for the artwork winners. Ann Dachniwsky made a motion to approve spending $45 for the cookbook winners to be presented with a complimentary cookbook. Maria Quinn seconded. A vote was taken and passed unanimously. The motion carried.


4. Directory Update-Tracey Shuck - Student Phonebook will be completed after Tracey finishes the cookbook. We left off a check mark for the home phone number to be published so an email with the request for permission will have to go out first.


  1. Booster Board name tags - Melissa Ripley volunteered to search for inexpensive nametag sleeves and print inserts.


6. Student idea: CMA yearbook - this may be too big of an undertaking. The idea to put the Banquet Slide Show on a CD was a more popular idea.

  • Second Vice President (Volunteers): Nancy Lesky - Nancy had nothing to report for volunteers.
  • Third Vice President (Internships & Summer Volunteers): Dawn Schindler - Internships are a work in progress. She is getting new physicians in. If you know of anyone that might be willing to take internships please let her know. As the program is growing, we will need to possibly think outside the box. Ideas for possible internships Chiropractors, Orthodontist, Dentists, Veterinarians, Medical Research, Surgeons of all kinds, possibly Surgical Sales that go into the Operating Rooms. For Spring Internships we have to consider hours the students are available. Dawn would like representatives from the Sophomore and Freshman classes to join the committee because she will not be here next year and wants to make sure all classes are aware of what goes into the process.
  • Fifth Vice President (Special Events-Professionals Breakfast and Parent Activities): Melissa Ripley - Physician’s Breakfast is Thursday, February 17th at St. John’s Baptist Church between Dawson and Crooked Lane. The venue is free but we intend to make a donation. 7:30-8am Set up. 8:15-8:30am start rotations. Invitations will be sent out. Melissa currently has approximately 10 volunteers to help.

Next parent activity is Dec 9th at Noon at Central Market

  • Sixth Vice President (Mentor/Mentee Program): Cathy Hendrickson - the mentor/mentee meeting just before Halloween had a conflict with another event but those that attended enjoyed that it was a smaller group.
  • Seventh Vice President (Liaison to Student Board): Maria Quinn - asked the Student Officers to keep her apprised of anything new.
  • Sophomore Parent Representatives: Nancy Lesky and Patty Willis - upcoming event is picnic in the park on Nov 13th.
  • Senior Parent Representative: Ann Dachniwsky and Grace Dotson - seniors will have paint ball in the winter and Laser Tag in the Spring.
  • Student Class Reps: Reed Ripley and Katie Dachniwsky - the Student Officers made $150 at the Halloween Party. There will be a Thanksgiving food drive in class and a Holiday Gift Exchange within each block.

Mrs. Martin presented the Members with the large check that was delivered to her room showing that CMA was awarded a grant in the amount of $4825.60 for Lab Quest Equipment. Kathy Roberts and Tracey Shuck wrote the grant. Thank you Kathy for your help!

October 12, 2010 CMA Booster Meeting




Call to Order - 7:09pm - 11 Members in Attendance (including Mrs. Martin)


1. Approval of minutes from last meeting September 2010. Becky Goodman made a motion to approve the Minutes from the September 2010 Meeting. Nancy Lesky seconded. The approval of the minutes was passed by a unanimous vote. The motion carried.

3. Fundraising

-T Shirts- waiting on more orders to send in new T-Shirt orders.

Refunding old t-shirt orders that weren’t filled.

Football trinket sales - Gay Burns sold alone and was able to sell $132 pre-game


-Cookbook update. We are placing an initial order of 500. We have a lot of recipes that are amazing.


The art teachers from CHS are excited about the art being displayed in the cookbook. They have not pre-ordered so they would like for us to have a lot of extras for this purpose.


The winning artwork for each cookbook section was displayed at the booster meeting. We intend to put the “honorable mentions” on the website to show recognition of submissions.


We want to give recognition in the cookbook to the Art Teachers (Monica LaPier and Arlene Valdez) who assigned the art project to their students. We are considering making a certificate of recognition for all students who submitted artwork.


Nancy Lesky volunteered to notify those offering internship opportunities to our students about the advertising opportunity in the cookbook.



  1. Awards for CMA students and boosters: We want recognize CMA students so that they can use those awards for their College Applications - we need to figure out how to qualify different awards.


  1. Directory Update - Directory will be completed by Tracey Shuck when she finishes the cookbook.


6. Nametags - we would like to purchase nametags for the board members for identification at events. The plastic sleeve type of nametag seemed to be the most popular option.


7. Executive Board Members:


  • Nancy Lesky - Volunteers - 13 parents are volunteering through January to help out at the school.


  • Third Vice President - Dawn Schindler: Mrs. Martin and Dawn are meeting this week regarding Internships and Summer Volunteers


  • Fifth Vice President - Melissa Ripley: Central Market Parent Activities - send out reminders a week before and the day before. “Career Day” or “Physician’s Breakfast” will be scheduled for Feburary 17th, 2011 at St. John’s Church on Kimball Avenue.


  • Sixth Vice President - Cathy Hendrickson: Mentor/Mentee Meeting October 27th at Carroll High school from 3:30-4:30pm. We will provide name tags for all future meetings.


  • Seventh Vice President (Liaison to Student Board) - Maria Quinn: The student board will meet once a month the Wednesday before the Booster Meetings.


  • Freshman Parent Representative - Salima Madhani and Mona Pate: hosted a party at Skatetown . 19 kids were in attendance.


  • Sophomore Parent Representatives- Nancy Lesky & Patty Willis: planning a get together the first week of November - picnic in the park


  • Senior Parent Representative - Ann Dachniwsky & Grace Dotson: planning a Halloween party Sun afternoon or evening on Halloween from 5-8. Charging money for pizza and having costume contest.


  • Senior Class Representative - Reed Ripley and Katie Dachniwsky - Full Class Picnic close to Thanksgiving Break is being considered as well as Pump it Up or Laser Quest.

September 14, 2010 Meeting Minutes




Call to Order - 7:14pm - 19 Members in Attendace


1. Approval of minutes from last meeting August 2010. Becky Goodman made a motion to approve the Minutes from the August 2010 Meeting. Nancy Lesky seconded. The approval of the minutes was passed by a unanimous vote. The motion carried.

2. Treasurer's report-Gay Burns - see Report Attached


3. Fundraising

-T Shirts- First order is in and Ms Martin has them. Will place a second order soon.

-Football trinket sales update.


Sold 78 cowbells. ($58.5 cost of cowbells) Profit $153.5 Have about 150 left for the next football game.


Sold 136 Dragon Snappers ($272 cost ) Profit $408 (Found on box of 12 left over).


Dragon Snappers were the big money maker but the bells helped attract attention.


$892 (took in). Less costs of good sold= Total profit and donations $561.50


-Cookbook update. Cost $5 each sell for $10 each. We have 80 pre orders =$800 Minimum order = 300 books x $5 = $1500 less pre orders of $800=$700.


Update: Preorders 129 or $1,290.


Estimate of at least 15 more to come in still from first day packets.

Will have about 150 books to sell that are not pre-ordered.


This is not a lot so please pre-order if you want a book. No need for this vote.


*Need help Advertising solicitation for cookbook.

*Need help getting recipes from Carroll teachers and administrators. Can email or call them.

Deadline is Sept 30.


4. Vote on renewal of board liability insurance. $240 for one million of General Liability plus $75 for one million Non-profit officers liability=$315 Total for the year. Melissa Ripley made a motion to approve paying $315 for the Liability Insurance for the Booster Club. Kathy Hendrickson seconded. The vote was unanimous. The motion carried.


  1. Banquet location update DFW Lakes Hilton and vote on increasing banquet deposit amount from $500 to $2200. Lia Machado-Morillo made a motion to approve increasing the deposit amount for the CMA Banquet from $500 to $2200. Yash Sidhu seconded. The vote was unanimous. The motion carried.


  • Hilton wanted all monies paid 30 days before the event. Gay suggested we negotiate holding back 20% until the day of to make sure the room was ready etc. Hilton agreed.


  • Kathy Hendrickson is looking over the contract.


  • Natalie Genco, President will sign the contract in the next 2 days.


  • Cheryl Salanty decided she has too much on her plate and has decided to step down. She did a great job finding us a location. The position of Fourth Vice President (Special Events - Fall Kick Off & Awards Banquet) is open.
  • Students and Ms Martin do the program
  • Suzette Tummons is decorating
  • Need to find someone to oversee the silent auction and arranging all else for the banquet.
  • The most difficult part has probably been completed-location
  1. Update on computer cabinets - The Eagle Scout Project is complete.


7. Vote on whether or not to change the name of the Physician’s Breakfast. A motion was made by Kathy Hendrickson to keep the name of Physician’s Breakfast the same. Salima Madhani seconded it. The vote was unanimous. The motion carried.


8. The executive board members and parent class reps update:


A parent volunteer is needed for approximately every other week to help Mrs. Martin with copying, etc.

10. Directory - Tracey Shuck asked for everyone to get their information filled out online so that we can get the directory printed. This form is used as the most up to date information regarding current emails. In order to everything to everyone in a timely manner via email, we need for everyone to go online to http://tiny.cc/gg1nq


11. Grant Writing - Tracey Shuck and Kathy Roberts are working on the Carroll Education Foundation Grant application. September 25th is the deadline.


12. Members in attendance voted on cookbook cover artwork. Final decisions will be made by the cookbook committee.


13. The District has hired Gina Petty to help with increasing AP Exam Participation. She was previously at Coppell ISD.

CMA Booster Club Agenda - 09/14/10

The Carroll Medical Academy is excited to announce their first speakers of the year.

On Tuesday, September 14 at 8 PM in the Library at Carroll Senior High we will have Rebecca Rollins, head counselor at Carroll. Dr. Rollins will speak from 8 - 8:15 on her role as counselor. Her lecture will include stress/balance/overall health and well being of students.

8:15-9 PM Frank Genco, MD, FACP, will speak on Effective Learning and Communication (reading, writing, speaking, math, thinking). Dr. Genco was high school valedictorian in NYC, accepted a full scholarship to Manhattan College, and entered medical school after his junior year without graduating college. He is Medical Director of EMC Express Care in N Richland Hills and is boarded in Internal Medicine and Emergency Medicine. Dr. Genco helped home school his 4 children including two who have been in The Carroll Medical Academy. He sponsors several CMA student internships each year and is an enthusiastic teacher.

August 18th 2010 Meeting Minutes

CMA Booster Club Kick Off Meeting - August 18, 2010

Called to Order at 8:10PM - 25 Booster Club Members in Attendance • Becky Goodman made a motion to approve the minutes from the June Meeting.

Gay Burns seconded. The vote passed unanimously.

Treasurerʼs Report - Gay Burns: • Balance (as of 8.18.10) - $9,510.78 (includes 1 outstanding check that was

subtracted from the total) • Rough Balance with donations/sales from tonightʼs meeting - $10,170.70

Fundraising Report - Natalie Genco: • T-shirts can be ordered in any size (Junior & Adult) for the entire family. The

samples will be with Mrs. Martin at school for upper class students to order. • Cowbells - We want to vote into the budget an initial order of cowbells to sell at

football games. Currently we are not happy with the samples we have. We may end up purchasing something different. We want to purchase 150 of them (a minimum order) for $337.50.

• Dragon Toy - Cost is $2 each and we want to sell them for $5. We want to purchase a minimum order of 13 lots for $312.

• Cookbook - Marina Sloane (Freshman Parent) will be in charge of gathering the recipes. The recipes collected will be published with the personʼs name submitting. It takes 60 days from the time they are ordered to get them. We plan to have them in November so they can be sold as Christmas presents. We will pre-order and order $300 worth of extra books to sell.

• Ann Dachnewsky made a motion to approve the Bylaw Clean-Up and Revisions. Melissa Ripley seconded. The vote passed unanimously.

• Gay Burns made a motion to approve the fall semester budget (See attached) Nancy Lesky seconded the motion to approve the budget. The vote passed

unanimously.

They are looking forward to having more socials for the Sophomores. " - Cheryl Salanty - working on dates for the Awards Banquet. " - Melissa Ripley - Looks like the Physicianʼs Breakfast will be held the 2nd/3rd " week in February. CMA is in need of a new place to hold the Physicianʼs " Breakfast as we have outgrown the previous space. We need somewhere close " to the school that can hold 250+ people. We have had generous offers for " location that we are concerned will be too far away to get the kids there that early " in the AM.

- Melissa Ripley- CMA will have parent socials as well. We will meet once a month for lunch or dinner. The schedule for this will come out soon.

- Yash Sidhu and Pari Sidhu had an event for the Junior Class. They went to Main Event for $10 night.

- Freshman Parent Class Reps Salima Madhani and Mona Pate are planning a Pot Luck Picnic.

- Anyone willing to have the kids at your home for socials, please let the Parent Class Repʼs know. They can help you plan and they have a budget to possibly help pay for snacks.

- Ann Dachniwsky and Grace Dotson-Senior Parent Class Reps do not currently have a date but are planning a pool party.

CMA Booster Club Meeting Agenda - 08/18/10

We will have our August CMA Board Meeting following the kickoff on Wednesday August 18th from 7:45-8:15. The kickoff starts at 6:30 and will be held in the cafeteria at Carroll Senior High.

Agenda items are as follows:

-Dragon pinchers -Gay Burns- ($2 each To get free shipping, we would have to order a minimum of 13 lots, only sold in 12 packs, which would cost approx. $312)

CMA Booster Club Meeting Minutes

Call to Order - 7:03pm.
Quorum was established with 23 in Attendance

Nancy Lesky made a motion to approve the Minutes from May 2010, Patty Willis seconded. A vote was taken and the Minutes were approved by the majority.

Old Business:
There were funds that were un-budgeted for that went out in May disbursements. These included pizza for the student picnic ($100), flowers and gift cards for CMA teachers presented at the banquet. An electronic vote went out to board members to approve these expenditures.
The budget was not voted on and will be voted on at the August board meeting.

We received great feedback on the Annual Fundraiser. Everyone agreed that the length was good, some thought the silent auction was better in the hallway. It was suggested that having contact cards for mentor/mentees to trade would be good for the future. The senior table was a big hit.

New Business:
We will be having a vote at our the August meeting on changes that will be made to the Bylaws.

Fall Kick off Planning - The 18th of August from 6-9:30pm. This takes place in the SAC and library. The Boosters will ask parents to bring a dish and the boosters will provide pizza and sodas. We will send out Evites 3 weeks before but first the date needs to be confirmed with Mrs. Martin. All CMA students are invited. This might be the best time to have next board meeting. We may have an officer meeting ahead of time and a quick(1/2 hour) board meeting for all parentss at the beginning of the Fall Kick off.

Possible Fall Fundraiser - Cookbook with possible name of Dragon Food. Would need submission of recipes from students, teachers and families. We would like to have a cook off event in November where all dishes submitted would be brought and voted on. Bring the school as a whole into the process by having a contest for the cover art. Include study tips, conversion charts, etc. Look at getting a few businesses to place ads to cover some of the cost.

* We are looking for a parent with publishing connections to possibly get publishing donated. Reed suggested they could be sold during lunch to students in the SAC. Others felt we need to get pre-orders so we know how many to produce.

We would like to have a CMA speaker in September on the topic of organization or doing well in school. Possibly Dr. Rollins would be willing to speak and we will have onemore speaker in October or November and then 2 more speakers in the spring.

The Incoming Freshman Family BBQ will be at the Genco home tomorrow evening - June 9th. 87 RSVP’s so far. Reed and Katy will be coming. (President and Vice President of student board)

We will be asking each committee to submit a report before each board meeting so that it can be read at the meeting if someone isn’t going to be able to be in attendance. It will be set up in the form of the Agenda and go out with meeting reminders so that everyone is aware of what will be discussed ahead of time.

We will be adding helpful links to the website - Kahn Academy and Carroll Tutors.

Dawn Schindler would like to see the student roster in a printed format. Tracey Shuck had an idea on how to get the information and convert it easily into a phone book using Google Docs. We would like to get ads for this book as well.

Cathy Hendrickson is planning a Mentor/Mentee event for this summer so that students can get to know one another.

We are searching for ideas on where to hold Physician Breakfast. It was at the Town Hall last year and it was too small. White’s Chapel Community Center and Gateway were suggested. We need to be able to have seating for 225-250 people.

The Deadline for putting down a deposit on the Spring Cruise is June 15th.

There will be a Sophomore Party at a parent home during the summer.
